Stand-Alone Email Process

Web and Digital handles the development and deployment process for email distribution via Workfront requests. They handle email communications for tribal members, commerce non-gaming and assist with associate emails. They serve as support to the RM by providing needed information, asset dimensions, and potential solutions. The web team also provides several methods of tracking email analytics.

Web and Digital offers stand-alone email campaigns to tribal members and commerce non-gaming.

General Process

The RM will need to allow time for the web team to create a stand-alone email and provide the following information via the WF request:

  2. The RM will notify the web team when all graphics and content are approved and uploaded to the “FINAL” folder within the Workfront request
  3. The web team creates a proof email through Constant Contact and sends to the RM, the client and and anyone else specified as an approver.
  4. When final approval is received the email is scheduled to send to the appropriate email distribution group(s)
  5. The web team marks WF task(s) complete and notifies the RM the campaign has been sent

  3. Email Preheader
  4. Send/From Email Address
  5. Reply-To Email Address
  6. Email Content
    1. Branded and approved art and copy will be provided by Creative Services and/or the Content team
    2. The RM will need to request any needed, copy art or design within the WF request
  7. Call to Action (CTA) Items
  8. A list of approvers’ emails to receive any proof emails during the testing and approval phases
  9. An email delivery date and time to be sent

About the Target Audience(s)

  1. Web and Digital maintains the following lists:
    • Tribal Members (provided by Circulation)
      • This list can be segmented to target specific audiences by city, county, zip code or state if needed; custom fields can be added if needed
    • Choctaw Country Market, users can sign up by visiting choctawcountrymarket.com
    • Cultural Center, users can sign up by visiting choctawculturalcenter.com
  2. If a new audience is required, it will need to be provided by the client via the RM.

Adding a new Mailing List

Provided contacts (i.e. mailing list) will need to be vetted by the client prior to submission to the RM and web team. Contacts will need to meet the following requirements:

  • All contacts must have
    • First name,
    • Last name
    • Email address
      • Email addresses cannot be duplicated between contacts within the mailing list
  • Preferably include city, state and zip code

Use the web team’s provided spreadsheet template to submit mailing list to ensure all required fields are met.
